2. What this Policy covers
This Policy explains how we collect, use, store, and protect personal data through the Reply jer service — including this website, our WhatsApp chat assistant, and any related tools.
3. What data we collect
From Subscribers (property agents):
- Full name, IC/NRIC number (for contracting), phone number, email, agency affiliation
- Property listing data you upload (addresses, prices, descriptions, listing photos if provided)
From buyers who message Reply jer via WhatsApp:
- Your WhatsApp phone number
- Conversation content (questions, budget, location preferences, property interests)
- Metadata: message timestamps, detected language
From website visitors:
- Basic log data (IP address, browser, pages visited) via our hosting provider, Vercel
4. Why we collect it
- To provide the Reply jer Service to agents and respond to buyer queries
- To generate lead notifications for the relevant agent
- To improve the Service (analysing query patterns, detecting issues)
- To comply with legal obligations under Malaysian law
5. Who processes your data
We use the following service providers, all bound to process data only as we instruct:
- Supabase (database, Singapore region) — conversation logs, agent/buyer profiles, lead records
- Pinecone (vector database, US region) — listing embeddings for search
- OpenAI (USA) — text-to-embedding conversion for search
- Anthropic (USA) — AI response generation
- Meta / WhatsApp Cloud API — message delivery
- Railway (USA) — backend hosting
- Vercel (Singapore edge) — website hosting
By using Reply jer, you consent to your data being transferred to and processed in the jurisdictions above. This is disclosed under PDPA s.129.
6. Retention
- Active conversation data: retained for the duration of the agent's subscription plus 30 days after termination
- Lead data: retained for 12 months after creation unless earlier deletion is requested
- Anonymised analytics: retained indefinitely
7. Your rights under PDPA
You have the right to:
- Access the personal data we hold about you
- Correct inaccurate or outdated data
- Request deletion (subject to any legal retention requirements)
- Withdraw consent (which may end your ability to use Reply jer)
- Lodge a complaint with the Personal Data Protection Commissioner of Malaysia

8. Data security
- TLS 1.2+ encryption in transit
- Encryption at rest for databases
- Tenant-scoped access controls — each agent can only access their own data
- API key authentication with timing-safe comparison
- No cross-tenant data sharing
9. Children
Reply jer is not intended for persons under 18. We do not knowingly collect data from minors. If you believe we have collected data from a minor, contact us and we will delete it.
10. Changes to this Policy
We may update this Policy from time to time. Material changes will be notified on this page and, where we have an active subscription relationship with you, via email or WhatsApp. The "Last updated" date above reflects the most recent revision.
